Understanding Delivery Windows
Long-distance movers provide delivery windows, not exact dates. Watch our expert explain why windows exist, what affects timing, and how to plan around a typical 3-week range.
How It Works
What is a delivery window?
A delivery window is the range of dates within which your shipment is scheduled to arrive, typically a few days to three weeks for long-distance moves, depending on distance, route, and time of year.
What affects your delivery window?
Two factors matter more than any other, so we want to be upfront about them:
The size of your shipment
A full truckload moves differently than a partial load. If your belongings fill only a small share of a truck, say roughly 10 percent, we combine them with other shipments heading the same direction. That consolidation keeps your price down, but it widens the window. A full, dedicated load travels on a tighter schedule.
How remote your destination is
Major metros get frequent service. Remote destinations do not. A delivery to McAllen, Texas, which sits hundreds of miles from the nearest major hub, or to Traverse City, Michigan, will carry a longer window than a delivery into the heart of a big city, simply because trucks reach those areas less often.
Other factors that can affect timing
Weather
Storms, snow, and extreme heat cause delays
Traffic & Routes
Construction, detours, and road conditions
Consolidated Loads
Multiple shipments on one truck
Mechanical Issues
Truck breakdowns and maintenance
Why Can’t Movers Give an Exact Date?
When transporting household items across the country, movers often consolidate multiple shipments onto a single truck. This keeps costs lower for everyone, but it introduces scheduling complexity. The truck may need to make multiple stops, navigate different routes, and coordinate delivery times with several customers.
Additionally, factors such as weather conditions, traffic, mechanical issues, and DOT regulations (drivers must rest after 11 hours of driving) can impact delivery schedules, making it difficult for movers to pinpoint an exact date.
Where to Find Your Delivery Window
Your specific delivery window is written into your moving contract, on the same page as your dates and pricing. If you are not sure where to look, ask your relocation specialist to point it out before you sign. Knowing your window up front is the easiest way to avoid surprises on the back end.
How to Plan Around a Delivery Window
- Pack essentials separately: keep 1 to 2 weeks of clothing, toiletries, and essentials with you
- Arrange flexible housing: have a backup plan if delivery is on the later end
- Stay reachable: the driver will call 24 hours before delivery
- Ask about updates: your relocation specialist can check truck status

Typical Window by Distance
| Under 500 miles | 3 to 7 days |
| 500 to 1,500 miles | 7 to 14 days |
| 1,500 to 2,500 miles | 10 to 21 days |
| Coast to coast (2,500+ mi) | 14 to 21 days |
Want a Shorter Window or Guaranteed Date?
When you need a tighter window or a firm date, the way Roadway runs long-distance moves is what makes that possible:
The Roadway Difference
We do not just resell space on a shared trailer. On most long-distance routes we run direct trips on our own exclusive straight trucks rather than consolidating your belongings into a trailer with other households. That means shorter windows, fewer hand-offs, and guaranteed pinpoint delivery on the date we commit to. And if your new home is not ready, we can store your items in your destination state and deliver them on a specific day that works for you.
Standard Window
1 to 3 week range. Included with every long-distance move. Most cost-effective option.
